Clean Text — User Guide

This page describes the main concepts and tools in Clean Text, explaining how to clean, transform, organize, and improve text efficiently in everyday work.

Introduction

Clean Text is a text-processing tool designed to help you clean up, transform, organize, and rewrite text quickly and reliably. It is useful whenever text is copied from emails, web pages, PDFs, documents, or messaging apps and needs to be normalized, reformatted, or improved before reuse.

The app combines classic text-cleanup utilities with modern transformation tools and on-device intelligent features, allowing you to improve clarity, structure, and readability while preserving meaning.

Selective Transformation

Selective Transformation lets you apply actions only to the portion of text you have selected, leaving the rest of the document unchanged.

• With text selected → the action affects only the highlighted portion.
• With no selection → the action applies to the entire tab.

This approach allows you to combine multiple operations — cleanup, formatting, or rewriting — while keeping full control over what is modified.

Working with Tabs

Clean Text supports native macOS tabs, allowing you to work with multiple documents inside a single window.

You can create a new tab using the “+” button, Cmd+N, or File → New. Tabs can be reordered by dragging, detached into separate windows, or merged with Window → Merge All Windows. The tab bar can be shown or hidden from the View menu, and all tab actions remain available through keyboard shortcuts.

Daily Workflow

Clean Text is designed as a fast, work-in-place tool for everyday text processing. In most situations you open the app, paste your text, clean or transform it, and copy the result — without creating or managing files. The text you process is often temporary and used only for a short step in your workflow.

This file-light approach helps keep your system free from unnecessary “Untitled” or temporary documents and keeps the workspace focused on the task at hand.

If you want to keep a document permanently, you can save it as a .cleantext file using Cmd+S. From that moment on, the document becomes a regular file with silent autosave while you work, without confirmation dialogs. When you quit the app with Cmd+Q, all open tabs and their contents are preserved and automatically restored at the next launch.

Note on AI-Based Tools in Clean Text

All AI-assisted tools in Clean Text are completely optional and clearly distinguishable from the traditional tools in the app. The classic text-processing features remain fully available, continue to be improved and maintained independently, and do not rely on AI in any way.

No operation in Clean Text is ever performed automatically or without the user’s explicit action. AI-based features are only executed when you choose to use them, and no background processing or hidden behavior is triggered as part of normal app functionality.

Entity Recognition

Clean Text can detect key language elements in real time using on-device Natural Language Processing (NLP), including:

• People names
• Place names
• Organization names

Recognized entities can be highlighted, copied, or used as the basis for further transformations.

AI Edits

AI Edits are predefined actions that automatically rewrite or improve the selected text. Each action focuses on a specific goal such as clarity, tone, structure, or summarization.

• Fix Grammar — Corrects grammar, spelling, and punctuation.
• Simplify Text — Makes complex sentences easier to read.
• Get Summary — Produces a concise summary of the key points.
• Bullet List / Numbered List — Converts text into structured lists.
• Formal Tone / Friendly Tone — Adjusts tone and style.
• Persuasive Style — Strengthens emphasis and messaging.
• Make It a Post — Rewrites text in a short, social-style format.
• Improve Flow — Reorganizes sentences for smoother reading.

AI Assistant

The AI Assistant lets you run custom prompts when you need transformations that go beyond predefined actions.

1. Select a portion of text, or leave nothing selected to apply the change to the entire document.
2. Open the AI Assistant panel.
3. Enter your instruction in the prompt field.
4. Press Return or click Run.
5. The result is applied directly to the text.

AI Usage Tips

• Select complete sentences to provide better context.
• Combine AI tools with classic tools when refining text.
• Use Undo to revert transformations at any time.
• Always review generated text before publishing or sharing.

Privacy and Security

All AI-based features in Clean Text run on-device using system-level technologies. Text is not transmitted to external servers, ensuring local processing and full control over your data.

Apimac does not collect or store processed content. Preferences and documents remain entirely under your control.
